We helped our client create a successful Commuter Program!
Scenario
To assist in reducing parking demand, increase participation in the Maricopa County Trip Reduction Program and make a positive impact on the environment, our client wanted to enhance their commuter program by offering more options and incentives to employees. The short-term goals were to decrease the number of employees using parking spaces by 300 spots per day. To have the program ready in time for a new year kick-off, the client needed a project manager who could focus on these efforts full-time.
Strategy
The client requested a proposal from DuffyGroup and we presented one for a full-time project manager for six months, coupled with project and creative consultation and administrative support as needed. The project was divided into two phase – information gathering/strategy development and implementation.
The client desired employee input, so as the first step in phase one, focus groups with nearly 400 employees were conducted. Next, two committees were formed - a core team of decision makers from human resources, communications and parking/facilities, as well as a committee of 15 employees from a variety of departments. During the second phase, policies for programs were developed and employee awareness and education via a variety of communication vehicles and events, such as a commuter fair, carpool mixer and an informational event in the cafeteria was created.
Programs were developed for carpooling, vanpooling, bike-to-work, walk-to work, telework, compressed work week and an emergency ride home program. The project manager kept things on track by assisting with the focus groups, facilitating the weekly committee meetings, defining goals, developing polices and procedures based on the committee’s input, preparing employee communication, coordinating the events, setting up an online ridematching service and coordinating a commuter website which will house all the pertinent program information.
Results
The client is happy that the program will roll-out on schedule and that employee awareness of the variety of commuter options has increased. In additional, the project was completed under budget and within the timeframe originally outlined. Final data on program participation is still in process of being calculated.
